In accordance with the procedure on uploading Vilnius University’s electronic documents to the information system of Lithuanian Academic Electronic Library (hereinafter referred to as eLABa) established by the order of the Rector of Vilnius University No. R–435 issued on 15 December 2021, members of VU academic community have an obligation to register all VU research publications, doctoral dissertations and their abstracts in Vilnius University’s institutional repository as part of the eLABa system.
All research publications of the current year as well as publications of the previous year that were not included into annual report have to be uploaded to the system. Unpublished reports that were delivered in research conferences should not be uploaded.
About eLABa
Lithuanian Academic Electronic Library (eLABa) is a national information system that accumulates and provides open access to scientific, art and study documents and/or metadata of the documents submitted by Lithuanian institutions.
Uploading of VU scientific publications, doctoral dissertations and their abstracts
In order to upload a new publication, doctoral dissertation or its abstract, login to the eLABa repository at http://talpykla.elaba.lt:
- Select an institution (Vilnius University)
- Fill in your VU Information System’s username and password and select Login
- Select New document and enter your data.
Those authorised for uploading to eLABa can login with their username and password which cannot be disclosed or passed on to any third parties thus authorising them to work in the eLABa system on behalf of the authorised person and enjoy the rights extended to the said person. Therefore any action or operation carried out after logging into the system under a certain username and password – including online signing of any licence agreements – shall be considered as performed by the person registered under the said username and password.
Research publications can be uploaded to eLABa by:
- The authors themselves
- A registrar of the division (approved by a written order issued by the head of the division)
- A librarian of VU Library (if the upload fails, please send in a full high-quality copy of the publication in PDF format at )
Doctoral dissertations and abstracts should be uploaded by the authors themselves.
Uploading full-text documents to eLABa
Non-public copies of full-text publications
In accordance with the order of the Rector of Vilnius University No. R–575, the eLABa repository has introduced a non-public copy storage feature for final published versions of scholarly publications which are not permitted by publishers to be publicly archived in institutional repositories.
Open access archiving of accepted manuscripts remains available independently of whether or not the final published version of the publication has been uploaded as a non-public copy.
In order to enable non-public copy submission, authors must accept the eLABa non-public files user agreement.
To accept the eLABa non-public files user agreement:
- Login in to your eLABa user account;
- Select ‘My profile’ from the menu on the left hand side;
- Select ‘Status and roles’ from the dropdown menu;
- By the sentence ‘User agrees with eLABa non-public files user agreement’, click the ‘Agree’ button;
- Read the agreement, tick the box next to the acceptance statement and click ‘Agree’.
When entering the data of the publication to the eLABa repository, it is necessary to attach a high-quality readable document file in PDF format:
- If it is an article from a book or conference material, it is necessary to attach a copy of conference report or thesis in PDF format as well as copies of the book cover (title pages) in one of the following formats: JPG, PNG or GIF;
- For books (monographs, textbooks, teaching materials, etc.), it is necessary to upload the entire file and copies of title pages (cover) as well as the book metrics;
- For electronic publications in CDs, it is necessary to attach the CD cover as well as the publication published in the said CD;
- For electronic publications published on the Internet, it is necessary to provide an exact link to the said publication.
It is highly recommended to upload the file in PDF format and not the scanned version of the document, as PDF files are readable for the system and search can be performed in the entire text.
Uploading of bachelor and master theses
VU students’ bachelor and master theses are registered in the VU Information System. If you have any questions, please contact the administrator of your division.
Providing Open Access
We encourage users to enable open access to electronic documents uploaded to the eLABa system.
Drawing up of reports
Reports can be drawn up only by users registered in the eLABa system and given the privilege to use the subsystem of statistics in the eLABa system.
Author | May draw up reports only from the data of the documents where the user is indicated as the author or a co-author. |
Employee of an institution (registrar or administrator of an institution) | May draw up reports only from the data of the institution documents (common with other institutions), where the institution’s employee/student is indicated as the author or a co-author. |
Administrator of the system | Has the privilege to draw up reports from the data of the documents uploaded by all institutions. |
After logging into the eLABa system, the user enjoying one of the above-mentioned privileges will be seeing a menu option Reports in the menu bar (under the menu group Other, below the option My profile).
Searching in the database of VU research output
The search for VU research publications, doctoral dissertations and their abstracts uploaded to the eLABa system can be performed via Lithuanian Academic Electronic Library search portal or Virtual Library of Vilnius University.
